Careful AI support for the people side of your organisation

AI tools work best in HR when the boundaries are written down clearly, the data stays under human oversight, and the team understands what the tool is doing — and what it is not doing. Sentosa helps Malaysian organisations think that through, step by step, at a pace that suits your people committee and your legal counsel.

Why Organisations Choose Sentosa

Designed for HR teams, not technology teams

Human decisions stay with humans

We draw clear lines. The AI drafts; your HR director reviews. No hiring or performance decisions are delegated to software under our approach.

PDPA-conscious at every step

Malaysia's Personal Data Protection Act shapes how we design data flows. You receive a written note on data handling implications before any tool is set up.

Bilingual from the start

All outputs — job descriptions, memos, policy summaries — are available in English and Bahasa Melayu, supporting your full workforce without friction.

Union and legal-ready documentation

We frame our written outputs so they can be shared with legal counsel and employee representatives without triggering concern about opaque automation.

Fairness signals reviewed quarterly

Under the stewardship programme, we review hiring and promotion data for patterns that might indicate systematic bias — with consent, and in writing.

ESG-ready reporting

The annual board summary from our stewardship service is structured to support ESG disclosure frameworks, giving your governance team a clear audit trail.

Take the first step

Would a short conversation be useful?

There is no obligation. If you are wondering whether AI has a sensible place in your HR processes — or you are already using it and want a second opinion on the guardrails — we are happy to talk it through.

Common Questions

Things HR directors usually ask us

Does AI actually replace any HR staff in your model?

No. We design every engagement around the premise that judgement calls — who to hire, how to handle a grievance, whether to renew a contract — remain with your HR team. The AI produces draft text and surfaces patterns; your people read, edit, and decide.

How does the Policy & Process Review work in practice?

We begin by reading the documents you share with us — HR manuals, workflow diagrams, sample forms. We then hold two or three working sessions with your HR director to walk through the process map. At the end of four weeks you receive a written brief. No systems are touched during this phase.

What happens if our union has questions about the drafting assistant?

We prepare a plain-language description of what the tool does, where data goes, and what safeguards are in place — specifically so you can share it with employee representatives and legal counsel. We have assisted clients in presenting this information at joint consultation meetings.

Is our employee data shared with third-party AI providers?

We take data handling seriously. During the policy review phase, no employee data is processed at all. For the drafting assistant setup, we select tools and configure data residency settings in line with PDPA requirements. You receive a written data flow note before anything is configured.

How long does the Drafting Assistant Setup take?

We allocate about six to eight weeks in total: two weeks of tuning and configuration, four weeks of supervised use where every output is reviewed by a human editor before sending. The closing reflection session happens at the end of week eight.

Can we start with a review and move to a setup later?

Yes, and many clients do exactly that. The policy review brief is designed so it can feed directly into the scoping for a drafting assistant setup, should you choose to proceed. There is no pressure to continue, and the brief is yours to keep regardless.

What does the quarterly stewardship include, month to month?

Each quarter includes an audit of the AI tool against your written usage policy, a review of fairness signals in available HR data (with consent), and a written report to your people committee. Between quarters you have access to a confidential question line for ad-hoc queries.
