Three client journeys in detail

Mid-size manufacturer · Shah Alam · Policy Review + Drafting Setup

The challenge

An HR team of three was spending roughly nine hours a week drafting job descriptions for high-turnover production roles. The descriptions were mostly repetitive but varied enough that copy-paste produced errors. The team wanted to use AI but had no policy and were cautious about PDPA implications.

What we did

The policy review identified job description drafting as the single area with lowest risk and highest time impact. We produced a written brief with PDPA notes. The client proceeded to a drafting assistant setup tuned on thirty existing job descriptions. Eight-week supervised rollout with daily editor review.

Outcomes

Drafting time for standard production roles reduced from approximately forty-five minutes to twelve minutes per description. The HR team now handles first-draft review rather than composition. The closing reflection session noted no tone or accuracy issues in the supervised period.

The challenge

The organisation had introduced an AI-assisted shortlisting tool without a formal policy or governance structure. Twelve months in, the board asked for assurance that the tool was not introducing bias into hiring, and the HR team had no documentation to provide.

What we did

We began with a retrospective policy brief covering what the tool had been doing and what data it had processed. We then established the quarterly stewardship programme, including a first-quarter fairness signal review of the preceding year's shortlisting data with full candidate consent obtained by HR.

Outcomes

The first fairness review identified a pattern of underrepresentation in a candidate category that required investigation. The board received a structured written account. The organisation adjusted its shortlisting criteria and documented the rationale. ESG disclosure was completed with supporting evidence for the first time.

The challenge

The HR director had received a proposal from a software vendor to automate performance review note-taking. She wanted an independent opinion on whether this was appropriate, what the PDPA implications were, and how she would explain it to the staff committee before proceeding.

What we did

We conducted the policy review focused specifically on the performance review process. We produced a brief that addressed the vendor's proposal, identified two PDPA implications that required resolution before any deployment, and drafted a plain-language explanation for the staff committee.

Outcomes

The HR director shared the brief with the vendor, who revised their data handling proposal in response. She presented the staff committee explanation at the next committee meeting. The deployment proceeded two months later with the committee's support. The organisation chose not to continue to a setup engagement with Sentosa — the brief was sufficient for their purposes.
